Fundraising Partner Terms and Conditions

The rules of the AidMatch Fundraising Partner Programme — for individuals and organisations who promote, share and publicise approved campaigns.

Version: 1.2 (Final)Governing law: The NetherlandsPlatform: AidMatch website & mobile apps
All policies
Fundraising Partners register with AidMatch to promote existing approved campaigns — through social media, websites, events, QR codes and their own networks — without owning a campaign or handling donations themselves. By registering for a Fundraising Partner account and accepting these Terms, you agree to the responsibilities, restrictions and requirements set out here.

1Purpose of the Fundraising Partner Programme

The Fundraising Partner Programme enables individuals and organisations to support approved AidMatch campaigns without having to create or own a campaign themselves. Partners may promote campaigns through social media, websites, blogs, newsletters, community networks, posters, QR codes, awareness events and other activities authorised by AidMatch.

Participation in the programme does not automatically authorise a Fundraising Partner to manage a campaign, implement a project, collect donations personally or make decisions about how project funding is allocated.

2Eligibility, Registration and Verification

Applications may be submitted by individuals aged 18 or older, bloggers, influencers, content creators, businesses, corporate social responsibility teams, registered NGOs, charities, schools, universities, churches, community groups and other organisations accepted by AidMatch.

Applicants must provide accurate information about their identity, organisation, contact details and intended fundraising activities. Anyone registering on behalf of an organisation must have the authority to represent that organisation. AidMatch may request identity documents, organisation registration documents, proof of authority or other reasonable supporting evidence.

Registration does not guarantee approval. AidMatch may conduct verification checks, request updated information, or refuse an application where identity, authority, legitimacy or compliance cannot be satisfactorily established.

3Account Approval and Access

Only approved Fundraising Partners may access restricted Fundraising Partner features. Approval grants limited permission to use the AidMatch platform for authorised activities and does not give a Partner ownership of AidMatch, any campaign, beneficiary relationship or project.

Partners must protect their login credentials, promptly report suspected unauthorised access and must not sell, transfer, rent or share their accounts with unauthorised persons. AidMatch may impose account limits, campaign restrictions or additional verification requirements where necessary.

4Selecting and Promoting Approved Campaigns

Fundraising Partners may select existing campaigns that are available and authorised for promotion through the AidMatch platform. Before promoting a campaign, Partners must review its description, objectives, fundraising purpose and any applicable restrictions.

AidMatch may pause, suspend, close or remove a campaign for verification, safeguarding, financial, legal, operational or other legitimate reasons. Partners must promptly stop promoting a campaign when instructed by AidMatch or when they become aware that it is no longer authorised for promotion.

Partners must not materially change a campaign's objectives, fundraising target, beneficiary details or stated use of funds without written approval. Selecting a campaign does not give a Partner ownership of it or authority to direct its implementation.

5Fundraising Links, QR Codes and Tracking

AidMatch may provide Fundraising Partners with unique links, QR codes, referral identifiers, promotional materials and dashboard tools. These tools may only be used for authorised activities and in accordance with applicable technical and campaign-specific instructions.

Partners must not manipulate tracking data, generate artificial clicks, submit fraudulent transactions, misrepresent fundraising results or redirect supporters to unauthorised payment destinations.

Tracking tools may not capture every visit, share or donation, and AidMatch does not guarantee that every donation will be attributed to a particular Partner. Partners must not claim ownership of donations merely because a promotional link was used. AidMatch may change, disable or replace tracking tools where reasonably necessary for security, technical, operational or compliance reasons.

6Rules for Fundraising Communications

Fundraising Partners must communicate honestly, accurately and respectfully. All promotional materials must reflect the approved purpose of the campaign and must not contain misleading claims about beneficiaries, campaign results, urgency, funding commitments or AidMatch's role.

Partners must not:

  • Invent beneficiaries, project outcomes, endorsements or donor commitments.
  • Promise that a campaign will receive a particular amount of funding.
  • Guarantee project completion without proper authority and evidence.
  • Use fabricated testimonials or misleading images.
  • Pressure, threaten, harass or deceive people into donating.
  • Misrepresent their relationship with AidMatch.

Where AidMatch supplies or approves promotional material, Partners must not materially alter it in a way that changes its meaning or creates a misleading impression. Partners remain responsible for the promotional statements and materials they publish or distribute.

7Use of the AidMatch Name and Branding

AidMatch may grant Partners limited, revocable and non-exclusive permission to use approved names, logos, campaign materials and promotional assets solely for authorised fundraising activities. This permission does not transfer ownership of AidMatch's intellectual property.

Partners must follow applicable brand guidelines and instructions. They must not create domains, companies, social media accounts or trademarks that falsely suggest ownership of or official control over AidMatch. They must not modify official materials misleadingly, claim a role or authority they have not been granted, or use AidMatch branding to endorse unrelated products, services, political activities or commercial offers without written approval.

Permission to use AidMatch branding ends when the relevant authorisation is withdrawn, the account is suspended or the partnership terminates, subject to reasonable instructions concerning existing materials.

8Donation Handling and Financial Restrictions

Donations to campaigns must be made through payment channels authorised for the relevant campaign. Unless AidMatch gives specific written approval under a separate arrangement, Fundraising Partners must not collect, receive, hold, pool, transfer or redirect donations on behalf of AidMatch, a campaign owner or a beneficiary.

Partners must not publish personal bank accounts, personal mobile money accounts or unauthorised third-party accounts as donation destinations. They must direct donors to the official campaign page or another payment method expressly authorised by AidMatch.

Donations received through AidMatch's authorised payment arrangements will be handled according to applicable payment procedures and the relevant campaign or funding agreement. Fundraising Partners have no automatic right to access, control, withdraw, allocate or instruct the transfer of donations.

Partners must not make unauthorised deductions, charge donors undisclosed fees or claim that money has been transferred when this has not been verified. If a Partner accidentally receives a donation intended for an AidMatch campaign, the Partner must promptly notify AidMatch and cooperate in resolving the matter lawfully. Any exceptional arrangement allowing a Partner to handle funds must be documented separately in writing and comply with applicable law and payment-provider requirements.

9Fundraising Targets and Results

AidMatch may display fundraising targets, progress indicators, campaign totals and Partner activity statistics. Unless expressly agreed in writing, a Partner's target is an indicative promotional goal and not a guarantee that donations will be raised.

Partners must not falsify results, claim credit for donations that cannot reasonably be attributed to their activity or misrepresent a campaign's status. AidMatch may correct, update or remove statistics to reflect verified information, refunds, reversals, suspected fraud or technical corrections. Partners must not publicly announce unverified fundraising totals as confirmed results.

10Voluntary Participation, Compensation and Expenses

Registering as a Fundraising Partner does not automatically create an employment relationship, agency, commercial representation agreement or entitlement to payment. Unless agreed otherwise in a separate written agreement, Partners participate voluntarily and are responsible for their own promotional expenses.

AidMatch does not guarantee a commission, salary, reward, reimbursement, grant or other financial benefit merely because a Partner promotes a campaign. Any commission, incentive, reimbursement, service fee or other payment arrangement must be approved in writing and specify the applicable conditions.

Partners must not promise donors that they will receive a personal financial benefit unless the arrangement has been expressly authorised and accurately disclosed. Partners are responsible for their own tax declarations, business expenses and other obligations arising from compensation they lawfully receive, subject to applicable law and any separate agreement.

11Fundraising Events and Offline Activities

Partners may propose events, presentations, awareness campaigns, workplace fundraising activities and community initiatives supporting existing campaigns.

Where an activity uses AidMatch branding, represents AidMatch publicly, involves collecting money, involves vulnerable people or creates financial or legal obligations for AidMatch, Partners must obtain any required written approval in advance. Partners must obtain the permissions, licences, venue approvals and insurance required for activities they independently organise.

Partners must not sign contracts, make purchases, incur debts or commit AidMatch to expenses without express written authority. Unless a separate written arrangement provides otherwise, offline activities must direct donations through authorised payment channels and clearly identify the campaign being supported.

12Children, Families and Vulnerable Beneficiaries

Partners must respect the dignity, safety, privacy and rights of children, families and other vulnerable people connected with campaigns. They may use only beneficiary information, photographs, videos, stories and other personal information that AidMatch has authorised them to use.

Partners must not independently contact, interview, photograph, film or visit beneficiaries for fundraising purposes without the required authorisation and any legally required consent. They must not publish a child's full name, precise location, contact details, school information, personal history or other identifying information unless expressly authorised and lawful.

Consent must be valid for the specific intended use and does not replace additional safeguards required by law or AidMatch policy. Partners must not exploit suffering, use humiliating imagery or make discriminatory or demeaning statements to encourage donations.

Any safeguarding concern, suspected abuse, exploitation or misuse of beneficiary information must be reported promptly through AidMatch's designated reporting channel.

13Privacy and Data Protection

Partners must comply with applicable data protection and privacy laws, including the General Data Protection Regulation (GDPR) where applicable. They must not collect more personal information than reasonably necessary for an authorised fundraising activity.

Partners must not sell, disclose, misuse or independently repurpose personal information obtained through the platform. They must not create unofficial databases of donors, beneficiaries or campaign applicants using AidMatch information without an appropriate lawful basis and any required authorisation.

Partners must use secure methods when handling information and promptly notify AidMatch of any suspected data breach involving platform information. Fundraising Partner status does not automatically grant access to donor or beneficiary information. Where a Partner processes personal data on behalf of AidMatch, additional data-processing terms may be required before processing begins.

14Conflicts of Interest and Prohibited Conduct

Partners must disclose any material conflict of interest that could reasonably affect their fundraising activities or the fair representation of a campaign.

Partners must not:

  • Engage in fraud, bribery, corruption, money laundering or other unlawful conduct.
  • Create fake donor identities or artificial donations to mislead supporters.
  • Misappropriate donations or divert them to unauthorised accounts.
  • Use fundraising activities to finance unlawful purposes.
  • Misrepresent personal, commercial or political interests as official campaign objectives.
  • Offer undisclosed inducements to influence campaign approval or payment decisions.
  • Harass donors, beneficiaries, campaign owners or other Partners.
  • Use the platform to distribute unlawful, defamatory, discriminatory or deceptive material.

AidMatch may require disclosure, corrective action or withdrawal from an activity where a conflict of interest or compliance concern arises.

15Reporting, Records and Cooperation

Partners must provide accurate information about their fundraising activities when reasonably requested by AidMatch. They must retain relevant records of approved events, promotional expenses, authorised financial transactions and material communications where required by law or a separate agreement.

Partners must cooperate reasonably with enquiries concerning suspected fraud, safeguarding incidents, donor complaints, misuse of branding or irregular fundraising activities. Where a Partner is separately authorised to handle funds, additional accounting, reconciliation, audit and reporting requirements will apply under the relevant written agreement.

Partners must promptly correct material misinformation when AidMatch reasonably requests correction or when they become aware that their communication is materially inaccurate.

16Donor Relationships and Communications

Partners may encourage donors to support approved campaigns but must not misrepresent themselves as the owners or implementers of the projects. Campaign-specific questions about budgets, implementation, official funding arrangements or project outcomes should be directed to AidMatch or the appropriate authorised campaign representative.

Partners must respect donor privacy and communication preferences. They must not sell donor information, add donors to marketing lists without a lawful basis or use donor details for unrelated purposes. Partners must not make commitments on behalf of AidMatch, a campaign owner or a beneficiary unless expressly authorised in writing.

AidMatch may communicate directly with donors concerning donations, payment processing, compliance, campaign updates and other legitimate matters.

17Complaints and Disputes

Partners must handle complaints honestly, professionally and respectfully. Complaints concerning a campaign, donation, fundraising activity or Partner conduct should be referred promptly to AidMatch through its designated complaints channel.

Partners must not conceal complaints, retaliate against complainants or discourage people from reporting legitimate concerns. AidMatch may investigate complaints and take proportionate action, including requesting information, restricting activity, suspending accounts or referring matters to relevant authorities where appropriate.

Complaints and reporting contact: admin@aidmatchfoundation.org, unless AidMatch designates another official channel.

18Monitoring and Compliance Checks

AidMatch may review public promotional content, account activity, fundraising statistics and compliance with these Terms. It may request supporting information where necessary to verify an activity or investigate a concern.

Monitoring will be conducted subject to applicable law, privacy requirements and relevant contractual limitations. Partners must cooperate with reasonable compliance checks and must not interfere with investigations or destroy relevant records to obstruct an enquiry.

19Suspension, Restriction and Termination

AidMatch may temporarily restrict or suspend a Partner account where it reasonably suspects a breach of these Terms, fraud, safeguarding concerns, unauthorised financial activity, misleading communications or other material risk.

Where reasonably practicable, AidMatch will explain the reason for a restriction and provide an opportunity to respond. Immediate protective action may be necessary where delay could cause harm, financial loss, evidence destruction or legal or regulatory risk.

AidMatch may withdraw campaign access, disable promotional links, remove unauthorised content or revoke permission to use its branding. It may terminate a Partner's participation for a material breach, repeated non-compliance, fraudulent activity or another legitimate reason consistent with applicable law.

A Partner may terminate participation by contacting AidMatch or using the account closure process, where available. Following termination, the Partner must stop presenting themselves as an active AidMatch Fundraising Partner and discontinue unauthorised use of branding.

Termination does not remove obligations relating to confidentiality, personal data, financial accountability, outstanding authorised payments, complaints or liabilities that arose before termination.

20Platform Availability and Changes

AidMatch aims to maintain reliable platform services but does not guarantee uninterrupted availability. Features may be updated, modified, suspended or discontinued for technical, security, legal or operational reasons.

AidMatch may update these Terms where reasonably necessary to reflect changes in its services, policies, legal obligations or risk controls. Material changes will be communicated through an appropriate channel where required by law or reasonably practicable. Where required, Partners will be asked to accept revised Terms before continuing affected activities.

Changes will not retrospectively remove rights that cannot lawfully be removed or override a separate written agreement without the required legal basis or consent.

21Intellectual Property and Promotional Content

AidMatch retains ownership of its platform, trademarks, logos, software, templates, branding and other materials it owns or is authorised to use. Partners retain ownership of content they independently create, subject to third-party rights and any separate agreement.

Partners grant AidMatch a non-exclusive, royalty-free permission to use Partner-submitted promotional content only to the extent reasonably necessary to administer, display, review or report on the relevant fundraising activity, subject to applicable law and agreed restrictions.

Partners must ensure that content they submit or publish does not unlawfully infringe copyright, privacy, publicity or other rights. They must not copy, reverse engineer, interfere with or misuse the platform except as permitted by law and authorised by AidMatch.

22Independent Status and Authority

A Fundraising Partner acts independently unless a separate written agreement expressly establishes a different relationship. These Terms do not by themselves create an employment relationship, partnership under business law, joint venture, franchise, fiduciary relationship or agency relationship.

A Partner has no authority to enter into contracts, make financial commitments, employ staff, incur liabilities or make binding representations on behalf of AidMatch. Partners must clearly distinguish their own statements from official communications issued by AidMatch. Any additional authority must be expressly documented in writing and is limited to the scope granted.

23Liability and Responsibility

Partners are responsible for their own conduct, promotional statements, events, expenses and compliance with applicable law. They must not represent that AidMatch guarantees the conduct, solvency, performance or results of a campaign owner or project implementer unless an express written commitment provides otherwise.

To the extent permitted by law, AidMatch is not responsible for losses caused by a Partner's unauthorised statements, unlawful conduct, negligence or breach of these Terms. Nothing in these Terms excludes or limits liability where exclusion or limitation is prohibited by applicable law, including liability that cannot legally be excluded.

Any liability limitations applicable to AidMatch must be interpreted consistently with mandatory consumer, contract, privacy and other applicable legal protections.

24Indemnification

To the extent permitted by applicable law, a Partner may be responsible for reasonable losses, claims, costs or expenses suffered by AidMatch that arise directly from the Partner's unlawful conduct, fraud, wilful misconduct, material breach of these Terms or infringement of third-party rights.

This provision does not automatically make a Partner liable for matters caused by AidMatch or another party and does not apply beyond what the law permits.

25Separate Agreements and Fundraising Fee Policy

These Terms govern the general relationship between AidMatch and a Fundraising Partner. They do not replace the Approved Organisation Terms and Conditions, campaign approval terms, project-specific funding agreements, data-processing agreements, event agreements or other documents applicable to a separate role or activity.

Where a Partner is also a campaign creator, donor, project implementer, service provider or approved recipient of funds, the additional terms applicable to that role must be accepted separately. Where a separate written agreement expressly addresses a specific matter differently, that agreement will govern that matter to the extent stated in it, subject to applicable law. Approval under one AidMatch role does not automatically grant permissions under another role.

The fundraising-platform fee policy is separate from sponsor terms. These Fundraising Partner Terms and Conditions do not establish a sponsor fee or set a percentage charge for sponsors. Any fee applicable to a fundraising campaign must be set out separately in the relevant fundraising terms and disclosed before a donation is made. Fundraising Partners must not deduct, collect or describe any fee as authorised unless AidMatch has expressly approved it in writing.

26Governing Law and Jurisdiction

These Terms are intended to be governed by the laws of the Netherlands, subject to mandatory legal provisions that may apply. Any dispute will be addressed first through good-faith discussions where reasonably practicable.

If a dispute cannot be resolved amicably, it may be submitted to the competent courts in the Netherlands, subject to mandatory jurisdiction rules and any rights that cannot lawfully be waived. Nothing in this section limits mandatory rights or remedies available under applicable law.

27General Provisions

  • Entire agreement: These Terms govern the general Fundraising Partner relationship, together with any policies and separate agreements expressly applicable to the relevant activity.
  • Severability: If any provision is found invalid or unenforceable, the remaining provisions will continue to apply to the extent legally permissible.
  • No waiver: Failure to enforce a provision immediately does not automatically waive the right to enforce it later.
  • Assignment: A Partner may not transfer their account or rights under these Terms without AidMatch's written consent.
  • Electronic acceptance: Where permitted by law, electronic acceptance of these Terms may constitute agreement to them.
  • Language: AidMatch may provide translations for convenience. The version designated as authoritative by AidMatch will govern, subject to applicable law and any mandatory language requirements.
  • Contact: Questions about these Terms may be directed to admin@aidmatchfoundation.org.

28Fundraising Partner Declaration and Electronic Acceptance

By ticking the acceptance checkbox during registration, the applicant confirms that the information provided during registration is accurate and complete to the best of their knowledge, that the account is intended to promote and mobilise support for existing approved AidMatch campaigns, and that Fundraising Partner status does not automatically make them a donor, sponsor, campaign owner, project implementer, employee or recipient of donations.

The applicant also confirms that they will direct donations through payment channels authorised for the relevant campaign, will not collect or redirect donations without specific written authorisation, will comply with applicable laws and AidMatch policies, and will use AidMatch's name, branding, promotional materials and fundraising tools only within the permissions granted.

The applicant understands that AidMatch may restrict or terminate participation in accordance with these Terms and confirms acceptance of the conditions stated in this document.

29Voluntary Role, Payments and Financial Responsibilities

29.1 Voluntary and unpaid role

The AidMatch Fundraising Partner Programme is a voluntary charitable role. Fundraising Partners voluntarily select and promote approved projects that align with their personal interests, values, history, experience or connection to a particular cause. The role is intended to mobilise charitable support for approved projects and does not constitute paid employment or automatically create an entitlement to compensation.

29.2 No guaranteed payment

AidMatch Foundation does not guarantee any salary, commission, reward, reimbursement or other payment to Fundraising Partners under these general Terms and Conditions. Any payment arrangement must be expressly agreed in a separate written agreement that specifies the applicable conditions. Unless such an agreement exists, Fundraising Partners must participate on a voluntary, unpaid basis.

29.3 No private payment arrangements with campaign organisers

Fundraising Partners must not solicit or demand payment from campaign organisers in exchange for helping them obtain funding, promote a campaign or secure donations unless a separate arrangement has been expressly agreed by the relevant parties. Any such arrangement must be lawful and transparent.

AidMatch Foundation is not a party to, and does not guarantee payment under, private arrangements between Fundraising Partners and campaign organisers unless AidMatch expressly agrees in writing to become a party to that arrangement. AidMatch does not guarantee that either party will perform its obligations under a private agreement.

29.4 No personal financial contributions expected

AidMatch Foundation does not encourage or require Fundraising Partners to contribute their own money to campaigns they promote. Partners should not assume that personal contributions, purchases, travel expenses, promotional expenses or other voluntary inputs will be reimbursed or rewarded. Any such expenditure is undertaken at the Partner's own discretion and risk unless reimbursement has been expressly agreed in writing beforehand.

29.5 Corporate and organisational fundraising arrangements

Companies and organisations conducting corporate social responsibility (CSR) campaigns or other budgeted fundraising activities may enter into separate written agreements where appropriate. Such agreements may define budgets, responsibilities, deliverables and payment arrangements between the relevant parties.

AidMatch Foundation is not automatically involved in, responsible for or liable under those arrangements. Its responsibilities, if any, must be expressly stated in a separate written agreement signed by the relevant parties.

29.6 No guarantee of funding or legal representation

Fundraising Partner status does not guarantee that a campaign will receive funding, that a campaign organiser will secure a grant, or that any party will receive financial benefits. Fundraising Partners must not represent that AidMatch guarantees funding, payment or legal protection under private arrangements.

AidMatch Foundation does not provide a guarantee of legal representation for Fundraising Partners or campaign organisers through participation in this programme. Each party remains responsible for understanding its own obligations and obtaining independent professional advice where necessary.

29.7 A charitable purpose

The Fundraising Partner role exists to support charitable causes by helping approved projects reach donors and supporters. Partners should participate because they wish to contribute their time, skills, networks and experience to a cause they believe in, rather than in expectation of personal financial gain.

By accepting these Terms and Conditions, Fundraising Partners acknowledge that the role is voluntary and unpaid unless a separate written agreement expressly provides otherwise.
