Aid Match Foundation ("Aid Match", "we", "us", or "our") connects sponsors and donors with children, families, school programs, and community projects that need support. This policy explains what information we collect through our website (aidmatchfoundation.org), our administrative and organization portals, and our mobile app (together, the "Services"), why we collect it, and the choices you have.

By using our Services, you agree to the collection and use of information as described here. If you do not agree, please do not use the Services.

2. Information we collect

Information you give us directly:

• Account details — name, email address, phone number, and password when you register as a sponsor, donor, organization, or staff member.
• Donation and payment details — the amount donated, the child, family, project, goal, campaign or school material you supported, and billing information processed by our payment partners (see Section 6).
• Content you submit — messages sent through our messaging system, sponsor applications, organization registration details, form submissions, photos or documents you upload, and any videos or YouTube links you add to a profile you manage.
• Child-safety reports — details you provide when reporting a concern, including your contact information unless you choose to report anonymously.
• Communications — anything you send us directly, such as support requests or feedback.

Information collected automatically:

• Device and usage information — IP address, browser type, device identifiers, app version, and general usage patterns, used to keep the Services secure and working correctly.
• Approximate location — where relevant (for example, to show currency or nearby content) based on your IP address or device settings, if permitted.

3. Information about children

Protecting children is central to our work. Child profiles (name, age, photo, story, and location details such as country or region) are created and managed by our administrators and partner organizations — not by the children themselves — for the purpose of connecting them with sponsors.

• We limit publicly visible details about a child to what is necessary to facilitate sponsorship, and we avoid publishing precise addresses or other identifying details that could put a child at risk.
• Anyone can report a child-safety concern through the app or website, including anonymously. Reports are reviewed by our administration team and handled under our Child Safety Policy.
• We do not knowingly collect personal information directly from children through the Services. If you believe a child has provided us information directly, please contact us so we can address it.
• Organizations and administrators who upload child or family content are responsible for obtaining any necessary consent from guardians before doing so.

4. How we use information

• To operate the Services — creating accounts, processing donations, matching sponsors with causes, and showing you the status of your sponsorships and donations.
• To communicate with you — donation receipts, messages from organizations or the foundation, updates on a project or child you support, and important notices about the Services.
• To review and approve content — organization registrations, project and goal submissions, and uploaded photos or videos, before they are published.
• To protect children and users — investigating child-safety reports, preventing fraud, and enforcing our terms.
• To improve the Services — understanding how features like school-material donations or campaigns are used, so we can make them better.
• To comply with legal obligations, including financial record-keeping for donations.

5. How we share information

We do not sell your personal information. We share it only in the following situations:

• Partner organizations — an organization you sponsor through, or that registered a child, family, or project you support, may see relevant donation and contact details needed to steward that relationship.
• Payment processors — Stripe, PayPal, and Flutterwave process your payment details directly; we do not store full card numbers on our servers (see Section 6).
• Service providers — hosting, email delivery, and similar vendors who process data on our behalf under confidentiality obligations.
• Legal reasons — if required by law, to protect the safety of a child or user, or to respond to a valid legal request.
• With your consent — for any other purpose you specifically agree to.

6. Donations & payment processing

Donations made through the website or app are processed by our third-party payment partners:

These providers have their own privacy policies governing how they handle your payment information. We receive confirmation of successful payments and the amount donated, but we do not receive or store your full card number.

7. Data retention

We keep personal information for as long as your account is active or as needed to provide the Services, maintain accurate donation and financial records, resolve disputes, and comply with our legal obligations. Child-safety reports are retained as needed to investigate and respond to concerns, and to identify patterns that help us keep children safe. When information is no longer needed, we delete or anonymize it.

8. Security

We use reasonable administrative, technical, and physical safeguards to protect your information, including access controls that limit who can view sensitive data (such as child-safety reports) to authorized administrators. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your rights & choices

• Access & correction — you can review and update your account details at any time, or contact us for help.
• Deletion — you may request that we delete your account and associated personal information, subject to records we must keep for legal or financial reasons.
• Communications — you can opt out of non-essential messages; we will still send you important notices related to your account or donations.
• Regional rights — depending on where you live, you may have additional rights under laws such as the GDPR or similar data-protection regulations. Contact us to exercise these rights.

10. Cookies & tracking

Our website uses essential cookies and similar technologies to keep you signed in and remember your preferences. We do not use these technologies to sell your data to third-party advertisers.

11. International data transfers

Aid Match Foundation supports sponsors and organizations across different countries. Your information may be processed in a country other than the one where you live, including countries that may have different data protection laws. We take steps to ensure your information continues to be protected wherever it is processed.

12. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or for legal reasons. We will update the "Last updated" date above, and where changes are significant, we will make reasonable efforts to notify you through the website or app.
